Inboxes: team or personal

The inbox is where daily work happens: conversations, contacts, appointments, channels and assistants. The organisation above it pays and manages people.

Two kinds of inbox

Team inbox

For work that belongs to the business.

  • Several members with roles
  • All channels: phone, WhatsApp, SMS, email, web chat
  • Public booking page
  • Keeps running when someone is on holiday or leaves
Just for you

Personal inbox

For your own line — truly private.

  • Exactly one owner, no other members
  • No web chat, no booking page, no SMS
  • Calls start in smart voicemail mode
  • Doesn't count towards the organisation's inbox limit

Rule of thumb: may a colleague open these conversations at all? Then team. Otherwise personal. You can always hand single cases over to a team inbox.

Switch between inboxes

  1. Tap the inbox name at the top of the "Inbox" tab — or "Switch inbox" under "Settings".
  2. Pick the target. The current inbox is labelled "Current".
  3. Check the name in the header before you reply.

A counter on the switcher shows how many other inboxes have unread conversations. The bell next to an inbox mutes its notifications.

Members and roles

A person becomes a member of the organisation once. Then they get access to exactly the inboxes they work in — with one role per inbox.

Role Sees Can configure
Owner Everything Everything, including the plan
Administrator All enquiries All settings of this inbox
Manager All enquiries No inbox settings
Employee Only selected enquiries No inbox settings
  1. "Settings" → "Organization" → "Members" → "Add employee".
  2. Enter a mobile number or email and choose the "Role in the inbox" (default: Manager).
  3. "Invite now" — or copy the invitation link and share it yourself.
  4. Grant further inboxes later on the person's page under "Inbox access".
Billing and reading are separate: whoever may "Manage organisation" handles plan, members and inboxes — but doesn't automatically read an inbox's conversations.
